We are committed to delivering high-quality digital headshots based on the services offered and the input information you provide. Due to the digital nature of our products and the personalized services rendered, our refund policy has specific points. Please read this policy carefully before making a purchase.

2. Nature of Digital Products & Services

Headshotstudio.io provides digital image files and/or image processing services. Once an order has been processed and the digital headshot files ("Output Images") have been generated or sent, the service is considered completed and the product delivered. Digital goods are intangible and cannot be physically "returned."

3. General Policy: No Refunds for Delivered Digital Products/Services

Generally, all sales are final. We do not offer refunds or exchanges for:

  • Digital headshots that have been successfully generated and delivered to you electronically.
  • Services that have been completed (e.g., image processing, editing based on provided images).
  • Subjective dissatisfaction with the style, composition, or aesthetic of the headshot, provided it meets general professional standards and aligns with the service description.
  • Issues arising directly from the quality of the input images provided by you (the User).

4. User Responsibility for Input Image Quality

As stated in our “Terms of Service”, you acknowledge and agree that the quality, resolution, lighting, focus, and overall suitability of the images you upload or provide ("Input Images") directly and significantly impact the quality of the final Output Images. We cannot issue refunds based on dissatisfaction stemming from poor-quality Input Images provided by the User.

5. Exceptions & Potential Eligibility for Refund or Revision (At Our Sole Discretion)

We may consider offering a refund or, more commonly, a revision/reprocessing, only under the following specific circumstances, evaluated on a case-by-case basis at our sole discretion:

  • Technical Failure: If, due to a verifiable technical error solely on the part of Headshotstudio.io's platform or process, the Output Images were not generated or delivered, or contain significant technical flaws (e.g., severe file corruption, incorrect file format rendering the file unusable) that were not present in the Input Images.
  • Non-Delivery: If you paid for the service but did not receive the Output Images electronically within the promised timeframe due to an error on our end.
  • Significant Discrepancy (Processing Services): If the Output Images significantly and objectively deviate from the described service or style examples in a way not attributable to the Input Image quality. Minor variations in processing or AI interpretation do not qualify.

6. Revision Policy (Primary Remedy)

In many cases where an issue arises (excluding those due to poor Input Image quality or subjective preference), our primary remedy will be to offer one (1) round of revision or reprocessing where technically feasible. We will work with you to understand the specific objective issue and attempt to rectify it. Eligibility for revision is also subject to the same exclusions as refunds (especially concerning Input Image quality).

7. How to Request a Review (Refund or Revision)

If you believe your situation falls under one of the specific exceptions listed in Section 5, please contact our support team within 7 days of receiving your Output Images.

+ Crucially: Attach or provide access to both the original Input Image(s) you provided and the specific Output Image(s) in question.

+ Explain why you believe the issue is due to a technical failure or significant discrepancy on our part, rather than the Input Image quality or subjective preference.

8. Refund Processing (If Approved)

If a refund is approved at our sole discretion, it will typically be processed back to the original method of payment within 7 business days. (IMPORTANT: Specify the number of days). Please note that your bank or payment provider may take additional time to post the refund to your account.
